An online booking system is a web page where customers choose a date, time or place that is still free, and the booking is recorded and confirmed without anyone answering by hand. For restaurants, clinics, sports courts, guesthouses and any business that runs on appointments, it prevents clashes and frees up the hours spent on chat. If you only take a handful of bookings a week, a WhatsApp conversation is often still enough.
When does a business need online booking?
Count how many of these sound familiar. Three or more is a good reason to look at a system.
- Bookings have clashed because two people took them in different places.
- Most messages ask the same thing: "is there a table at 7?", "do you have a double room on the 14th?".
- Customers fail to show up on slots you held for them.
- Requests arrive outside working hours and wait until the next morning.
- You want to know your busy hours and most-booked services, but the records are scattered across chats.
Which features matter?
| Feature | What it does |
|---|---|
| Availability calendar and slots | Customers can only pick what is actually free |
| Opening hours, capacity and pricing rules | For example six tables per hour, or weekend rates |
| A short form | Name, WhatsApp number, party size, notes; nothing you do not need |
| WhatsApp or email confirmation | The customer has proof of the booking straight away |
| Admin dashboard | See, change and block slots in one place |
| Online deposit (optional) | Fewer no-shows |
| A written cancellation policy | No arguments about deposits or rescheduling |
What does it look like for different businesses?
| Business | What the customer chooses | Demo |
|---|---|---|
| Restaurant or café | A table on the floor plan, time, party size | Pawon Lirih |
| Clinic or practice | Doctor, service, appointment time | Klinik Rumpun Waras |
| Guesthouse or homestay | Dates and room type | Tanjung Lengkung |
| Sports court | Court and playing time | Gelanggang Petang |
| Cinema or event | Showing and seat | Bioskop Kelir |
The businesses are fictional and the demos are in Indonesian, but the flow is the same as the systems we build for clients. All of them are in the booking demo gallery.
Should you take a deposit?
A deposit taken through a payment gateway filters out casual bookings, especially for expensive or scarce slots. Prepare two things first:
- A written policy: how long a deposit stays refundable, whether a booking can be moved, and what happens if a customer is late.
- A payment-gateway account in your business's name. Transaction fees are deducted by the gateway provider under its own terms.
Where most customers are regulars, a WhatsApp confirmation without a deposit is often enough.
Your own system or a third-party platform?
Booking platforms bring reach but usually take a commission on each booking and keep the customer relationship. A system on your own website pays no platform commission and the data is yours; in exchange, you bring the bookers in through search, social media and past customers. Many businesses use both: a platform for first-time guests and their own system for returning ones.
Either way, link your booking page from your Google Business Profile. The profile can carry booking links such as "Book an appointment", so people who find you on Google Maps can book straight away. Google also offers booking through partner providers, and notes that the provider might charge you.

Frequently asked questions
Do customers need an account to book?
Not necessarily. For most small businesses a name and WhatsApp number are enough. Customer accounts only make sense for features such as visit history or memberships.
Can I block slots for holidays or walk-in bookings?
Yes. Staff close specific dates or times from the dashboard, so phone and walk-in bookings sit on the same schedule.
Does it replace WhatsApp?
No, it works alongside it. Confirmations go out by WhatsApp or email, and customers who prefer to chat can still book that way; staff simply enter the booking in the dashboard.
How long does it take to build?
At PintuWeb 1–2 weeks, counted from when your hours, capacity, prices and content are complete.
